Change or Update Settings for Microsoft Office 365 Business or School
Edited by Grimm, Alexander Avdeev
Welcome to VisiHow! In this tutorial, we are going to show you how to change the settings of 'Microsoft Office 365' for business, work, or school.
Steps
1
In order to do this, we have to log into the system first, which we've discussed in our previous video on how to log into 'Microsoft Office 365'
.
2
Next, we need to go up and click on the settings icon
.
The settings icon is in the upper right-hand area of the screen and looks like a small gear. A single click will open up a drop-down menu with three little selections.
3
We click 'Office 365 settings' to get to the 'Office 365 settings' menu
.
From the settings menu, we will be able to choose our theme in several ways, as we've discussed in another tutorial on VisiHow.
4
We can click on 'Me' to see the information on ourselves
.
There are our profile picture, our address, our organizational details, our account identifiers, and other information if we scroll up or down.
5
We click the back arrow to go to the previous page
.
6
From there, we can click on 'Software', which will allow us to install and manage software
.
From there, the information on the currently installed software will be given. In the video, we have one installation, which is now active.
7
We can click 'Deactivate', but it is a subject for another tutorial, which will have details on that
.
8
Let's go back now by clicking on the back button
.
9
Next, we can select our starting page by clicking 'Start page'
.
This choice will allow us to choose where we would like to go first when logging into the 'Office 365'.
10
Click the drop-down menu under 'Set your start page'
.
11
For example, the preference can be our e-mail account, so we'll select 'Mail'
.
12
Once we've selected 'Mail', we can simply save that by clicking 'Save'
.
Now that it is saved, our default location when logging in will be mail.
13
However, if we would like to change that, we click 'Start page' again
.
14
Then, we click on the box under 'Set your start page'
.
15
We can select 'Office 365 home page'
.
For example, it can be beneficial for us when creating tutorials and helping to teach people on how to use the application.
16
17
Next, we scroll down and click 'Notifications'
.
This will let us change the notifications that we have. However, we do have to notice the fine print, which displays that our changes will take effect after we sign in next time. In other words, we need to sign out and sign back in order to do this. After we click 'Notifications', we'll have a selection of reminders.
18
The first one is a reminder for calendar items
.
19
Then, we have the reminder sound, which happens when the reminders appear
.
20
We have notifications that we can receive about new mail
.
21
Also, we have the sound for new mail
.
22
We can turn any of those off or on by clicking the toggles
.
There is no option to save them because they do not take effect until we log out of our account and log back in, which means that they are automatically saved as soon as we navigate off this particular tab, which is currently the 'Notifications' tab, to any of the other tabs.
23
Next, we can change our password by clicking on the 'Password' option
.
Once we are on the 'change password' window, we'll see our User ID first.
24
We have to confirm that it is, in fact, our user ID
.
We have to make sure that we haven't accidentally logged into someone else's account or came to the system that he or she was using but forgot to log out.
25
Then, we enter the old password that we normally used
.
26
After that, we click the 'Create new password' area
.
We can enter our new password. We have to make sure that it is secure, which will be indicated by the 'Password strength' icon below, changing color.
27
For example, let's put in a secure password in the video
.
This is a strong password, which is indicated by the green bar.
28
If we delete a few characters from it, it will be still strong
.
29
If we delete a few more, it becomes an unacceptable password
.
30
Further, if we enter something simple like '1234567890' as a password, the red bar will indicate that this is a very weak password
.
We have to make sure that our password is not too weak; otherwise, it can be easily guessed.
31
Let's delete this password
.
32
Once our password is in, we are going to type it in the 'Confirm new password' bar again where we make sure to type the same password
.
If we do not type the correct password, we will receive a notice.
33
For example, we enter a password twice
.
When we clicked out of the input box, 'Office 365' informed us that the passwords that we've entered do not match.
34
In the event when we've entered the passwords that do not match, we make sure that we completely delete them both
.
We do not have to take chances because we can make the same spelling mistake on one of them, believing that we've done something correctly. In that case, we'll end up with the password that we do not actually know, even though we've thought that we knew, and we can have some serious problems.
35
When we have finished, we click on 'Submit'
.
36
If we need to, we can scroll down and update the information by simply clicking 'Update them now'
.
This will enable us to update our recovery number and our recovery alternate e-mail.
37
We click on the settings icon
.
38
We click 'Office 365 Settings', which is the area in which we were previously
.
We have more sections to discuss there.
39
We scroll down since we've almost finished
.
40
We click 'Contact preferences' now
.
This will take us to the 'Contact preferences' frame.
41
On the right-hand side, we can choose how we can be contacted
.
The selection is 'Educational content', 'Promotional content', 'Customer research', 'Partner communications', or 'Compliance notifications'. In this tutorial, we've just selected 'Compliance notifications', as we might be not interested in being contacted about anything else.
42
If more information about the item is needed, we can pop the information chat bubble by simply hovering the mouse cursor over the item
.
This will give us everything we need to know.
43
Our business e-mail can be changed here
.
44
We can also click 'Learn more'
.
45
We can click 'Office 365 Privacy Statement' too
.
46
By scrolling down in this frame, we'll see that there is nothing else to choose other than 'Save' and 'Cancel'
.
47
Since we have not changed anything, we don't need to click anything
.
48
Instead, we'll go back to the left menu and click the last option, 'Language'
.
The language option will be shown.
49
We might need to scroll back up in the new frame
.
50
There, we will be able to select the 'Office 365' language
.
We click on the drop-down menu will give us the option to choose any language on the list.
51
We are probably not going to change ours from English, so we need to click outside of the drop-down list
.
However, if we need to change our language to a different one, or use a different type of English, then we can do that through this frame.
This concludes our tutorial on how to update settings for a Microsoft Office 365 business, work, or school account. If you have any comments or suggestions, please leave them in the section below.
