Formatting Your Cover Letter

Salutation.jpg
  1. 1
    The Salutation
    .
The best salutation is your primary chance in making contact with your potential employer. This is one major spot where one's laziness sometimes wins out over due diligence " the "Dear Sir/Madam" move. This is one generic salutation that is not positive. The hiring professional may misconstrue this as your lack of thought about who the hiring manager is. One staffing consultant and expert suggests that job seekers must take the time to find out the name of the particular hiring manager. You can sometimes find them via Linkedln or Google. However, if it appears in the job posting, you definitely must personalize the letter by mentioning his or her name on your salutation.

  2. 2
    The first paragraph
    .
In this part, you should state your intentions clearly. The reason should be logical, whether you are responding to a job listing post, inquiring about other positions, or requesting information relative to your job search. If you are responding to a job listing post, you should include where you've seen and/or heard about the job vacancy.

  3. 3
About you and your related skills
    .
This is where a lot of applicants go wrong. They create a template cover letter and use the same cover letter over and over again, taking time to edit just the recipients and the position. Notice that when you do this, the employer generally does not contact you. You have to make sure that it is stated in this part of the cover letter that you have the particular set of skills they are looking for. Highlight the skills that you think you have in connection with the job specifications. By doing so, you are exhibiting not only your communication and writing skills, but you are also showing that you are a critical thinker.

  4. 4
"Why the employer should hire you" part
    .
This part is usually where the reader decides whether to continue to read the resume attached to your cover letter or not. This is the part where you convince the reader to take an interest in your application. As a job applicant, it is critical that you are able to mention the specific name of the company in your cover letter, followed by a clear explanation of why you're interested in working for the company. Make sure that you truthfully mean what you say. Hiring professionals can easily tell if you are being less than truthful. Keep in mind that the major objective of the company's human resources is to hire the people who sincerely want to work for them. As such, it is the applicant's job to convince them via their cover letters. Avoid making unrealistic claims, like saying, "I am your best candidate for the position." Recruiters, after all, will not know if you really are the best candidate until they have evaluated other applicants. Your cover letter must give the recruiter a glimpse of your background. You have to encourage them to become interested in you and your resume.

Avoid narrating the content of your resume in the cover letter
    .
The cover letter is, first and foremost, a letter. It is not a narrative form of your resume. Your application letter will be attached to your email or paper application, as well as your actual resume. You should use your cover letter to show your hobbies, interest, and personality in connection with the particular profession or position you are applying for. Avoid topics that are not related to the job application. You may want to sound conversational, but you should not try to overdo it by mentioning too many facts.

Do some research on the company you are applying to
    .
Add some related company facts in your cover letter, if you can. Say, for instance, if you are into technology, you can pitch in some thrilling information, like how exciting it would be to check out Moore's law transforming into technology right before your very eyes, and how excited you are about it. If you are into fashion, you can talk about how fashion has evolved, from the 80's until the present. Basically, everything has a hidden story to tell.

Keep your cover letter clear, concise and correct
    .
When writing your cover letter, always remember that less will be more. Ideally, three paragraphs are enough. Try to avoid a lengthy exposition. Proofread your letter before sending it. Make sure that you send complete, relative and correct information.

    Send it in PDF Format
    .
Always assume that the hiring manager or the employer you're communicating with uses a different operating system than yours. As such, it is safe to use and send a file format that he or she doesn't need to download and convert. Be reminded that some employers may not bother to open your attachments.

    Dear Ms. Sue:

Enclosed is the Moonlight Company Commodity Report that covers the inventory for Royal Delivery Company.

Will you please reconcile this report with your records?

    Sincerely yours,

    Job Application

To How-Incorporated Industrial Clinic Hiring Manager:

I would like to signify my interest in applying for the position of Industrial Nurse, posted at jobpost.com on May 29, 2013. The same job vacancy was also mentioned to me by one of your staff who have been with you for 10 years now.

I worked as an emergency room nurse for about five years at VisiHow General Hospital. At the same time, I was also involved in planning a continuing education program for nurses in the same hospital. I conducted varied training and helped to create modules on disaster preparedness and crisis prevention. As such, I believe I have the strong background of disaster nursing that you specifically mentioned in your job posting.

I know that How-Incorporated Industrial Clinic is one of the sister companies of VisiHow General Hospital. As such I am confident that there would be no transition difficulties. In fact, learning the tasks involved for the position will be easier as I've already interacted with some of your staff during one of the continuing education seminars I conducted.

Attached here is a copy of my resume for your perusal.

    Sincerely,
