If you're not a paperless hotel, you probably have a Guest Registration Card that you request your guests to sign when they stay at your property. If you do not have one yet, we'll go over some of the information you need to have in order to create one.

Steps

    To begin, the registration card should be branded. It should have our company or hotel logo.

    It may be on an A4, normal printer paper size, or it may be a half-sheet or other size cardstock. This depends on the needs of the company and on the rest of our branding.

    Once we've selected our paper, we need to include space for the guest's name and address, as well as contact information. These can include a telephone number and email.

    There may be space where it will be printed from our records, as well as blank space where the guest can make any corrections.

    Below the space for the guest's name and address, we will need the stay information.

    This can be "Dates" of the stay, "Room Type", "Rate Information", and number and type of guests, such as adults or children.

    We'll need to provide Rate Information for each day, as well as the total for the guest's stay, and we should point this out to the guest when they are checking their details.

    Below the stay information, we can add some pre-printed policy information. What to include here is up to the policies at our hotel and how much information we need to provide our guests.

    Many times this will be "Smoking" policies, "Extra Guests", "Early Departure" and any associated fees, "Late Checkout" and any associated fees, etc.

    At the very bottom of the registration card, we will need to leave a blank for the day's "Date" and "Guest Signature". If we have some pre-printed policies, getting the guest to sign the registration card confirms that their stay information and their contact information are both correct, and they have viewed our hotel's policies. If we have any issue, we can refer back to the registration card when we are discussing the issue with the guest.
