How can I inform my PhD committee members about changing the date of the meeting and asking for a probable reschedule?

I already fixed a date and time for my PhD committee meeting with my PhD committee members. I prepared a doodle and asked them for their availability. I understand that my supervisor is not available on the fixed day. Now I should inform PhD committee members about changing the meeting to another day or if it does not work ,asking them to update me in a doodle about their availability

I am trying to find the appropriate wording on how to let the group know were are scheduling as part of the an on going and routine process?

I work in a medical practice that needs to meet with the nurse on a more scheduled bases. Right now their meeting are non existent. This is the first meeting I am coordinating, and working on a schedule and would like their feedback on agenda items.
