Create templates that you can use to edit the person's name, date and time as well as the location if there will be different areas for meetings. This will help you to expedite the meeting invitation process. Type out what you would have said over the phone and polish it up a bit for the templates and you will be just fine.

When creating these emails you can use their name if you have it instead of Marketing Manager. Keep a template on file to send to all of them. You may also want to consider attaching a pdf brochure of your company when you send the email for a meeting request because this is basically a cold call but in the form of an email. The more information you can give, the better response you will get.
